How can a team resolve an apparent missing asset that is away for repair?
Trace the item from its last recorded location through dispatch, the repairer receipt and its current status. Use matching identifiers throughout and record whether the asset was independently observed or only confirmed by the repairer. Keep the return and custody update open until the equipment comes back.
Equipment sent to a workshop often remains assigned to its original office in the asset register. When a verifier arrives, the custodian says it is being repaired but cannot find the job number. Treat that answer as the beginning of a trace, not an automatic closure. A repair trail should connect a particular asset to a particular external custody arrangement.
Rebuild the outward journey
Ask for the dispatch note, repair request, collection record and any workshop acknowledgement. Match the serial number as well as the asset tag where possible, because suppliers may record only the manufacturer serial. Capture the date, dispatching employee and receiving organisation. A purchase order for repairs establishes that work was requested, but may not identify what was physically collected.
If identifiers are incomplete, contact the internal maintenance coordinator before guessing. Compare model, accessories and the reported fault with the last observation. Record the basis for any provisional match. An undocumented verbal recollection can be retained as context, but should not be rewritten as a signed dispatch record.
Confirm present custody and distinguish substitutions
Obtain a dated response through the organisation’s established supplier contact route identifying the equipment, job reference and current location or repair stage. Where the verification assignment requires observation, arrange an appropriate visit or other agreed procedure. Label supplier confirmation clearly so it is not mistaken for direct sighting by the project team.
Ask whether the original unit is being repaired, replaced or awaiting collection. A replacement with a different serial is not merely a spelling correction. Likewise, a temporary loan unit in the office should not inherit the original asset identity. Record both objects and route ownership, warranty and financial questions to the relevant internal owners.
Keep the return obligation visible
Use a temporary custody location for the workshop, with the original operational location preserved in history. Assign an internal owner and a follow-up date based on the repair arrangement. Long-standing cases should show their latest contact and next action, rather than remaining indefinitely in an unqualified in-repair status.
When equipment returns, reconcile the serial, accessories and collection paperwork. Record the receiving custodian and location, then update the verification outcome using the actual evidence obtained. A repair completion invoice without return evidence does not show that the organisation has regained physical custody. Retain any unresolved replacement or loss issue for separate review.

Illustrative example: a training centre cannot find projector P-118. A maintenance email points to a repairer, whose receipt records the matching serial and a pending parts order. The centre classifies the item as externally held, with supplier confirmation and a follow-up date, rather than directly observed. On return, the storekeeper matches the serial and signs the receipt. A loan projector used meanwhile remains a separate temporary custody record.
