A team discovers that old asset tags have lost leading zeros and several long serial numbers now end in zeros. The records have already been used for transfers, photographs and financial references. Prevention advice alone will not resolve this situation. Preserve and Diagnose the Damage
Save the affected export and identify the import batch or date range where the change first appeared. Compare the displayed value with the value actually stored, using supported application views or exports. Scientific notation can be a display choice, but a serial whose stored digits changed is a different problem. Record the evidence for that distinction.
Microsoft documents Excel’s fifteen-significant-digit numeric precision limit. Once digits have been replaced through numeric conversion, changing the cell format does not recover the original identifier. Missing leading zeros also require evidence of the original length or value; adding zeros until a code looks plausible is not a reliable recovery method.
Rebuild From Intact Independent Sources
Look for a pre-import backup, an original supplier serial list, a label-printing record or readable photographs captured before the damage. Preserve those sources and record which one supports each proposed correction. Use stable internal record IDs, source-row references or documented receipt relationships to connect evidence to the affected row without relying on the damaged identifier alone.
Classify rows as recoverable, requiring physical confirmation or ambiguous. If two long serials collapsed to the same stored value, the damaged number cannot distinguish them. Keep those rows out of automated repair and arrange a focused check of the objects and their history. Descriptions and purchase prices can help investigation, but identical equipment often shares both.
Approve and Validate the Repair
Prepare a repair schedule containing internal record ID, damaged value, proposed correct value, supporting source and reviewer. Check for collisions with other active identifiers before applying changes. Agree how the application preserves aliases or correction history, and use a supported update route. Obtain the relevant data-owner approval; involve finance if the affected references connect to postings or reconciliations.
After the repair, test physical scans, document links, transfer history and downstream integrations for representative corrected rows. Ensure the next scheduled import does not reintroduce the damaged values. Reconcile repaired, quarantined and unchanged populations to the original affected set. Retain the recovery mapping so searches using an old corrupted reference can still reach its documented resolution.
Practical Example
Illustrative example: a depot finds two imported serials with identical trailing zeros. The supplier’s original dispatch file contains two different full serial strings, but the damaged register alone cannot show which belongs to which row. Receiving references resolve one row; the other needs a physical check. The team repairs the supported match, quarantines the uncertain row and completes the second correction only after observing the serial. It does not manufacture missing digits through formatting.
